EMAIL

E-mail stands for electronic mail. It is sent through internet from one email account to another email account/s. It works exactly like postal department but digitally. Mail system (like postal department) transmits messages over communication networks. It is a message that may contain text, files, images, videos or other attachments sent through a network to a specified individual or group of individuals. This electronic-mail has done wonders to the speed of written communication.

Features:

b)     It is the fastest mode of communication in businesses/organizations.

c)      It is extremely fast and can be sent to anyone irrespective of his physical location.

d)     Electronic files in the form of words, tables, pictures, graphs, sounds, videos etc. can be sent with this mail.

e)     It is cost effective.

f)       Electronic mail systems have get ways to other computer systems enabling users to send electronic mail anywhere in the world.

g)      Its message in soft copy can be sent from one computer to another over the internet using a set webmail service address.

Advantages:

a)      It is very speedy so it saves time.

b)     It is convenient for both the parties as it does not require physical presence and disturb the routine.

c)      It is convenient from time point of view as it can be seen whenever someone is free.

d)     It can be sent to a large number of receivers at the same time.

e)     Instant clarifications and additional information can be exchanged if both the parties are on-line.

f)       It is comparatively more confidential and safe method because email account is password protected.

g)      E-mail messages can be easily saved in large size on a computer and quickly referred as and when required.

h)     It is a useful Marketing Information tool for a business.

i)       It is very economical and cheaper than postal mail.

Disadvantages:

a)      Hard copies of documents cannot be sent through e-mail.

b)     Internet is very essential facility without which it cannot be exercised.

c)      There is threat of virus through email hence there is possibility of corruption of  the data on computers.

d)     It becomes difficult to send heavy or many files at the one and same time.

e)     It is not easily affordable to common and illiterate people.

In spite of these some limitations e-mails become an effective and popular tool of business communication.
